Privacy Policy
Soak Notes stores your spa records on the browser you use. This policy explains what stays on your device and what the service receives.
Records on This Device
Your spa and location details, water readings, drafts, maintenance history and schedules, notes, reference links, and saved Ask Suds conversations stay in this browser. Records are separated by account on the device and do not sync across browsers or devices.
The browser remembers your preferences and the last verified account for offline use. It also caches app files and bundled manuals so they can open offline.
Accounts and Feedback
The service keeps your account email, account identifier, access role, password hash, and invitation and session information to manage access. Essential cookies support sign-in, password setup, and form protection. Hosting and sign-in systems may record technical details such as IP address, browser type, and request time to operate and protect the service.
If you add a passkey, Soak Notes stores the credential identifier, public key, label, and when it was created or last used. Your passkey provider handles the private key and any device verification. Manage or remove passkeys in Manage Account.
When you send alpha feedback, administrators can see your message, the app build number, the account that sent it, and when it was sent. Leave out any private information you don’t need to share.
We use your account email for service messages such as invitations, password recovery, security alerts, and feedback confirmations. The service’s email provider handles delivery.
Manuals and Generated Answers
Manual search runs in your browser. When you import a document, Soak Notes saves its searchable text, title, and any source link in the private account library for that hot tub. The browser extracts text from uploaded files. For a link import, the service retrieves the file from the source site. Soak Notes stores the searchable text and leaves the original file with you or the source site. Remove an imported document in the Reference Library.
When you use Ask Suds with your own OpenAI project, Soak Notes sends your question, recent turns from the current conversation, spa model, water-care system, and relevant excerpts from the manual or your selected tub’s imported documents to OpenAI using your project key. When you turn on Include Relevant Spa History under Setup → Device and Account, Soak Notes saves that choice to your account. Ask Suds may then send relevant excerpts from past conversations and saved notes for the selected tub on this device. Soak Notes stores your key encrypted on the server. You can remove it under Setup → Device and Account.
Saved conversations and notes are part of the device backup. Earlier conversations may keep cited excerpts after you remove an imported document. Open a saved conversation to delete it and its note from this browser.
External references, including manufacturer links and links you save, open other sites. Those sites have their own privacy practices.
Backups and Data Removal
You can download a backup under Setup → Device and Account. Keep the file somewhere private. Backups include an account identifier and the site address to help prevent accidental imports into another workspace. Restoring a backup reads the file on your device and replaces the records for the current account in this browser. Imported document text stays with the account library outside device backups.
Signing out ends your session and leaves your saved records on the device. To remove them, clear Soak Notes site data on that device after saving any backup you want to keep. To ask about account or feedback data stored by the service, use the contact options below.
